Our Fair Refund Policy: Honoring Life's Unpredictable Path

 

We understand that life is an unpredictable journey, often marked by unforeseen challenges, grief, and the need for significant re-evaluation. Our programs facilitate lasting transformation, but we recognize the path is not always linear.

 

Our refund policy is crafted not merely as a transactional agreement, but as a compassionate framework that honors the realities of major life disruptions. We prioritize fairness, transparency, and support during difficult periods of personal change.

 

Core Principles of Our Policy

  • Compassionate Flexibility: We take a human-centered approach, acknowledging that circumstances like unexpected loss, severe illness, or major career shifts can fundamentally hinder a client's ability to engage fully.

  • Commitment to Transformation: While offering flexibility for true hardship, our policy respects the mutual commitment to the transformative work. Refunds are primarily considered when participation is demonstrably hindered by uncontrollable external factors.

  • Pro-Rata Calculation: If a refund is granted due to qualifying circumstances, it will be calculated on a fair, pro-rata basis, accounting for sessions, modules, or resources already utilized. The exact methodology will be clearly communicated upon request.

This balanced approach honors your commitment to yourself while maintaining the sustainability and integrity of our high-quality services.

 

Detailed Policy by Service Type

 

Section 1: Private Coaching Sessions (1:1)

 

Payment and Booking

  • Full Payment: Payment is required in full at the time of booking to confirm your spot.

  • Payment Plans: Flexible payment options for coaching packages (e.g., three- or six-month commitments) are available through third-party vendors. Payment plans are generally not offered for single sessions.

  • Accepted Methods: We accept all major credit cards and secure online payments processed through an encrypted system.

 

Rescheduling and Cancellation

  • 24-Hour Advance Notice Required: You may reschedule an individual session without penalty by notifying us via email or the official booking system a minimum of 24 hours before the scheduled start time.

  • Late Cancellations/Forfeiture: Sessions canceled or rescheduled with less than 24 hours' notice will regrettably result in the forfeiture of the session fee. This policy is strictly enforced.

  • No-Shows: If you fail to attend (a "no-show") without prior notice, the session will be forfeited, with no refund or credit issued.

  • Coach Rescheduling: In the rare event the coach must reschedule, we will prioritize finding the next available time. You may accept the new time or receive a full credit for the missed session.
     

Refund Policy for 1:1 Sessions
 

  • General Policy - Non-Refundable: Given the bespoke nature, significant preparation time, and energy invested in 1:1 coaching, all session fees are generally non-refundable once booked and confirmed.

  • Exceptional Circumstances: We maintain a strict "no-refund" policy. However, genuinely exceptional, extenuating, and unavoidable circumstances (e.g., medical emergency, act of God) may warrant a refund review. Requests must be submitted in writing and are reviewed solely at our discretion.

  • No Refunds for Change of Mind: Refunds will not be issued due to a change of mind, lack of commitment, or dissatisfaction with results, as client participation is essential for success.

 

Section 2: Group Coaching, Events, Courses, Programs, and Discussion Groups

 

These terms apply to all structured, time-bound, and interactive services (workshops, retreats, cohorts, etc.).

 

Payment Requirements

 

  • Initial Payment: Full payment is required at booking to secure your spot.

  • Payment Plans: We partner with third-party vendors for installment options. Note that utilizing a payment plan means your contract and financial obligation for the full amount are also governed by the vendor's terms.

III. Readiness and Commitment Disclaimer

 

We strongly advise clients to carefully assess the time, financial, and emotional commitment before enrollment. Registration signifies commitment.

 

Section 3: Digital Products (Final Sale Policy)

 

This section applies to all non-interactive, instantly accessible digital content (guides, workbooks, e-books, meditations, pre-recorded video series).

  • Final Sale: Due to the immediate delivery and nature of digital content, all sales are final once accessed, downloaded, or the access link has been sent. We cannot offer refunds for reasons including, but not limited to, change of mind or failure to use the product.
     

  • Technical Support: If you experience technical difficulty accessing a file, contact our support team immediately. We will provide assistance to resolve access issues; this service does not constitute grounds for a refund.

 

Section 4: Exceptional and Unforeseen Circumstances

 

We approach significant personal emergencies with compassion. If an unavoidable and serious life event (e.g., medical emergency, bereavement, sudden job loss) prevents your participation, please notify us as soon as possible.

  • Review Process: While the standard policy remains in effect, we will review your situation with empathy to explore alternatives.

  • Possible Solutions (Discretionary): Solutions offered are at the sole discretion of Phoenix Rising Women Coaching and may include:

    • Deferral: Transferring your full enrollment credit to a future, identical program iteration within 12 months.

    • Credit Transfer: Applying your payment as credit toward another available service or product of equal or lesser value.

    • Rescheduling: Finding a mutually agreeable date for 1:1 services.

    • Note: A refund is not a guaranteed outcome under this clause.

 

Section 5: Requesting a Refund, Cancellation, or Reschedule

 

All formal requests must be submitted via email to ensure accurate record-keeping.

  • Required Information: Full name, the specific service/program/event booked (including the start date), and a clear, detailed reason for your request.

  • Response Time: We aim to acknowledge receipt immediately and provide a formal response or resolution within 3 business days.
